6 Valparaiso, IN Valparaiso, IN Full-time Full-time $40,439 - $47,575 a year $40,439 - $47,575 a year 2 days ago 2 days ago 2 days ago The City of Valparaiso, located in the corner of Northwest IN, just 60 miles southeast of Chicago IL and 15 miles south of the beautiful Indiana Dunes National Park is seeking an Administrative Assistant for the Engineering Department, which includes the Project/Facility Management Division, to play a critical role responsible for all administrative functions within the Department, as well as providing high-level administrative support to the Engineering and Project & Facilities Management staff.
This position reports directly to the Engineering Director.
Qualifications Include:
High school diploma or equivalency Minimum of two (2) years of administrative support experience Position Expectations include:
Performs various clerical functions including, but not limited to, opening and sorting department mail, faxes, and electronic mail, performing data entry, typing documents, preparing various charts, reports, and correspondence, maintaining department files and manuals, and maintaining office supplies inventory.
Performs various administrative duties, including receiving and reviewing employee timesheets, tracking employee time off on paid leaves and FMLA leave, completing payroll sheet and submitting to Clerk-Treasurer's Office, and filing required reports such as OSHA reports and Workers' Compensation and Injury Reports.
Performs various bookkeeping duties, including processing claims, processing purchase orders, recording budget status, monitoring fund accounts, entering data into computer, and generating invoices and account statements.
Prepares, assesses, and maintains project contracts, vouchers, and invoices, processing and submitting claims for payment including department invoices, grant vouchers, stormwater, and redevelopment commission claims.
Reviews work site applications, and prepares, processes, and releases permits as required.
Reviews project certified payrolls related to grant and project payment draws, completing progress request forms and vouchers for SRF, IDEM and INDOT including project wage schedules and WBE/MBE requirements.
Tracks grants and loans from Dept of Commerce, State and Federal and other local funding agencies.
Assists staff in tracking project budgets.
Completes and submits paperwork regarding project change orders, bid tabulation sheets and prepares project logs as required.
Coordinates bid advertisements including scheduling pre-bid meetings, preparing for meetings, and assisting in the process of preparing project manuals.
Answers telephone and greets office visitors, providing information and assistance, taking messages, scheduling appointments, or directing caller to appropriate individual or department.
Attends meetings as required.
Attends local and state training sessions as required to comply with state and federal requirements.
Performs related duties as assigned.

The City of Valparaiso provides a competitive salary structure.
The hiring range for the Administrative Assistant is $40,439 to $47,575.
Placement within the range is commensurate with qualifications, experience, and education.
